Proposal Smart Fields

Overview

Smart Fields are placeholders that you add to a proposal or a proposal template. When CORE creates the proposal, it replaces each Smart Field with the actual value from your company, prospect, opportunity, and quote records.

There are two kinds of Smart Fields:

  • Basic Smart Fields: Each one is replaced with a single value, such as the proposal ID or the total bill amount of the quote. They work anywhere in the document.
  • Loop fields: The Phase, Activity, and Expense fields. They build lists from the quote in your proposal, such as a table that lists each phase with its activities and expenses under it. They work only inside a loop block, which repeats its content one time for each phase, activity, or expense on the quote.

Date, Time, and Number Formats

Date, Time, and Number Formats

When CORE fills in the Smart Fields, it formats dates, times, and other values as follows:

  • Dates: {CurrentDate}, {OpportunityClosedOn}, {OpportunityExpirationDate}, and {OpportunityTargetDate} follow the date format of the Culture Code of your home currency. Your home currency is set in the Currency field on the Company Information screen, and its Culture Code on the Currency screen. For example, with the Culture Code en-US, dates show as M/D/YYYY.
  • Times: {CurrentTime} follows the time format of the same Culture Code, such as h:mm AM/PM for en-US. {CurrentDateTime} shows the date and time with seconds, such as M/D/YYYY h:mm:ss AM/PM for en-US.
  • Amounts: Amount fields, such as {QuoteTotalBillAmount} and {ActivityBillAmount}, show a currency symbol and two decimal places, such as $1,050.00. In the {DetailedQuoteTable} and {SummarizedQuoteTable} tables, amounts show two decimal places without a currency symbol.
  • Hours and units: Two decimal places, such as 6.00.

Basic Smart Fields

A Smart Field is the field name inside braces, such as {ProposalID}. Add it anywhere in the document, exactly as it appears in the Smart Field column, including the braces. CORE replaces it with the value when it creates the proposal. To copy Smart Fields from CORE into a Word proposal template, check Add Smart Fields to Word Templates.

The Field Name column shows the name in the Available Fields list on the Add Smart Field dialog.

Loop Fields

Loop fields build lists from the quote in your proposal, such as a table that lists each phase with its activities and expenses under it. All loop fields pull their values from the phases, activities, and expenses on the quote, and show the values of one phase, activity, or expense at a time. To use them, place them inside a loop block. A loop block has a start marker, such as {#Phases}, and an end marker, such as {/Phases}. CORE repeats everything between the two markers one time for each item and fills in the loop fields with the values of that item. Outside a loop block, a loop field has no item to read from, so it stays blank.

The Quote fields, such as {QuoteTotalBillAmount} and {QuotePhaseCount}, also use quote data but are not loop fields. They show totals for the whole quote and work anywhere in the document.

Loop Blocks

Loop Block Repeats for Each Fields You Can Use Inside
{#Phases} and {/Phases} Top-level phase of the quote Phase fields, except Phase Parent Name
{#AllPhases} and {/AllPhases} Phase of the quote, including the phases under other phases, as one list All Phase fields
{#PhaseActivities} and {/PhaseActivities} Activity in the current phase. Place it inside a phase loop block. Activity fields
{#PhaseExpenses} and {/PhaseExpenses} Expense in the current phase. Place it inside a phase loop block. Expense fields
{#AllActivities} and {/AllActivities} Activity on the quote Activity fields
{#AllExpenses} and {/AllExpenses} Expense on the quote Expense fields

Type the loop markers exactly as shown, including capitalization. If CORE does not recognize a marker name, it leaves the whole block out of the proposal. In a Word table, place the start marker alone in the first cell of its own row and leave the other cells of that row empty. Place the end marker the same way in a row below. CORE repeats the rows between the two markers.

Example

This Word table lists each phase from the quote, including the phases under other phases, with the activities and expenses of each phase under it:

Word table with loop markers and Smart Fields for phases, activities, and expenses

When CORE creates the proposal, the generated rows depend on the phases, activities, and expenses on the quote. For example:

Generated proposal table listing each phase with its activities, expenses, hours, and fees

Combined Rows

Inside a loop block, CORE combines the activities or expenses that have the same values in the ID, Group ID, Description, and Resource fields that you use in the loop. For example, if a loop uses only {ActivityDescription}, two activities called Drafting show as one row, with their hours and amounts added together.

In a combined row, CORE calculates the rates from the combined totals (amount divided by hours or units), and the Tax 1, Tax 2, and Tax 3 fields show the average tax percentage.
