Proposal Templates

Overview

You can create new proposals in BQE CORE Pursuit either from scratch or from existing proposal templates. If your company deals with certain types of offerings to certain types of clients, you can expedite generating the proposals by using templates. With templates, you can get off to a quick start on reaching out to your prospects. After creating standard templates, you can then create new proposals from them easily and quickly. Click to watch this video on managing proposals in CORE Pursuit.

You must create different proposal templates containing general or common data that you want to copy to similar new proposals. For example, you can create a generic proposal and save it as a template. When you are dealing with prospects, you can base the proposal on this existing template and save time entering all the common properties from scratch. You can edit the templates if required.

Your list of proposal templates follows the Proposal Format of your firm, set under Settings > Pursuit > General. When the format is Microsoft Word, the Proposal Templates screen shows only Word templates. When the format is CORE Proposal Builder, it shows only Proposal Builder templates. CORE keeps the templates of the other format, and they return if an administrator switches the format back. The Type column on the grid shows whether a template is a Word template or a Proposal Builder template.

Create Word Proposal Templates

When the Proposal Format of your firm is set to Microsoft Word, a proposal template holds a Word file (.docx) with Smart Fields. When you create a proposal from the template on the Proposal tab of an opportunity, CORE copies the Word file into the proposal and fills in the Smart Fields with client, opportunity and quote data.

To create a Word proposal template, follow these steps:

  1. Open the Proposal Templates screen from Settings > Pursuit.
  2. On the Proposal Templates screen, click Create Proposal Template.
  3. On the Create Proposal Template screen, enter the required information, such as the Template Name and Description.
  4. Upload the Word file (.docx) of your template.
  5. Click Save & Close.

You can also save a finished proposal as a template. On the Proposal tab of the opportunity, click Save As Template. For details, check Proposals.

Add Smart Fields to Word Templates

Smart Fields are placeholders that CORE replaces with your client, opportunity, quote and company data when it creates a proposal. In a Word template, each Smart Field is plain text inside braces, such as {ProposalID}. You copy the Smart Fields from CORE and paste them into your Word document.

To add Smart Fields to a Word template, follow these steps:

  1. Open the Proposal Templates screen from Settings > Pursuit.
  2. Click Create Proposal Template or open an existing template.
  3. Click Smart Fields and select the field you want from the Available Fields list. CORE copies the Smart Field to the clipboard.
  4. In your Word document, paste the Smart Field where you want the value to appear.
  5. Repeat for each Smart Field you need, and then save the document as a .docx file.
  6. Upload the Word file to the template and click Save & Close.

Keep these points in mind when you add Smart Fields in Word:

  • Exact text: Paste or type each Smart Field exactly as copied, including the braces. Apply the same formatting to the whole Smart Field, not to part of it.
  • Quote table: Place the quote table Smart Field on its own line. CORE replaces that line with the quote table.
  • Client Stage: Use the Client Stage Smart Field to show whether the client is a prospect or a client.

Note: CORE fills in the Smart Fields in the body of the document. Smart Fields in a page footer are not filled in, so place them in the body.
