Security Permissions

Overview

BQE CORE is high on business data that entails many levels of protection, not only from entities outside the system, but also from users that have varied degree of authorizations and access within the system. Thus, it offers predefined security profiles that you (CORE owner or administrator) can assign to other users. You can also tweak these profiles to fit special needs or create custom profiles according to your preferences. Click to watch this video on setting up security permissions in CORE.

CORE offers user-based security, meaning any user who logs in the system is checked for access permissions while navigating different areas of the program. All screens have separate read and write permissions that allow you to control access to the sensitive areas of CORE. For example, you can grant your staff permission to enter time while managers receive more extensive permissions to be able to review and edit those time entries. The security profile of the Owner account is Full Access by default and you cannot change it. We strongly recommend assigning security permissions soon after your company’s information is set up. If security is not in force, any user can add, change, delete and print data. Check out details about the security permissions of each profile.

The Security Permissions screen is where you go to control access or grant permissions to various screens by logged-in users. Even within the individual screens, there are unique settings that can be tweaked for the ultimate flexibility in user experience. This screen also contains report security, wherein you can control which financial document or report a user is able to access. A principal might want others to be able to view their time card reports, but not profitability reports. The Security Permissions list view allows you to display active employees and vendors only.

Customize Security Permissions 

You can edit or customize the security permissions of a user and then save them under a new profile name. You can also edit the name of the custom security profiles.

To customize the security permissions of a user, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. Select the Show: Employee option at the top-right.
  3. In the list view, click dropdown-caret.png on the user row whose security permissions you want to edit and select View Details.
  4. On the Edit Profile > Screens tab, make the desired changes to the assigned security permissions by checking or unchecking the corresponding options. Click Save.

  5. On the Security Profile dialog, click Create New Profile so that you do not overwrite any of the default profiles. (Else, click Save to overwrite the existing profile.)
  6. Enter a new Profile Name and click Save.

Assign Security Profiles

You can assign the security profiles to your employees or vendors from the respective screens. Alternatively, you can assign or change those profiles here as well. This option is not available in sample databases.

To assign a different security profile to a user, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. Select the Show: Employee option on the top-right.
  3. Select a user to whom you want to assign a different security profile and click Actions > Assign Profile.
  4. On the Assign Security Profile dialog, select a profile from the drop-down list.
  5. Click Save.

Customize Report Permissions

Report permissions allow you to grant or restrict access to all reports available in CORE. You can set the report permissions for a security profile rather than individual users. This is a huge time saver and ensures that the security is correctly applied based on the profile used. It also ensures the confidentially and security of your company data. You can edit or customize the report permissions of a user and then save it under a new profile name.

To customize the report permissions of a user, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. Select the Show: Employee option at the top-right.
  3. In the list view, click dropdown-caret.png on the user row whose report permissions you want to edit and select View Details.
  4. On the Edit Profile screen, select the Reports tab.

  5. Make the desired changes to the assigned report permissions by checking or unchecking the report names.
  6. Click Save.

Copy Security Permissions

You can copy a user's security permissions to another user or a group of employees (or vendors). This option is not available in sample databases.

To copy the security permissions, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. Select the Show: Employee option at the top-right.
  3. In the list view, click dropdown-caret.png on the user row whose security you want to copy and select Copy To.
  4. On the Copy To dialog, select the Type (individual, group, etc.) and Name of the user to whom you are copying the security permissions.
  5. Click Copy.

Show/Hide Columns in Grid

You can configure the fields or columns that appear on the grid in the list view. You can hide or show columns, and sort the order of columns according to your requirements.

To do so, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. In the list view, click More > Show/Hide Columns on the action bar.
  3. Select or un-select the column names in the drop-down list, say Manager.
  4. Next, click the column name you want to sort the data by, say Department.
  5. Click once for ascending order (A-Z) and twice for descending order (Z-A).

Note: You can resize the column widths on the grid and then reset them, if needed (More > Reset Column Widths).

View Reports

To view a report, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. In the list view, click More > View Reports.
  3. Select a report from the Report List dialog. It opens in the viewer.
  4. Preview the report and then choose to export or print it.

Apply Filters

To view selective data on the grid, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  2. In the list view, click filters-01.png on the right.
  3. On the Filters panel, select a filter from the drop-down and specify individual records or range.
  4. Click Add Filters to specify more filters.
  5. When you have finished, click Apply Filter. You can see selective data now.
  6. In the list view, you can remove the individual filters by clicking remove-01.png on each. To disable applied filters temporarily or remove all filters, click filter_icon.pngnext to the Filters icon and select Disable Filters or Clear All, respectively.

Mark Screen as Favorite

You can mark or flag the most-often used and important screens in CORE as your favorites up to a maximum of ten. These favorite screens then display separately on the side menu under the Favorites list. You can manage all your favorite screens in CORE from User Settings.

To mark this screen as your favorite, watch this video or follow these steps:

  1. Open the Security Permissions screen from the side menu > Settings > Access & Permissions.

  3. You can access this screen from the side menu under Favorites.
