Overview
Contract Distribution lets you automatically distribute a project's contract amount across its phases, instead of updating the contract amount for each phase manually. You can distribute the amount from the main project down to its phases, calculate the main project's amount up from individual phase amounts, or continue entering contract amounts manually. Manage Contract Distribution is only available on phases set to Main. If a phase has its own phases underneath it and is set to Standard, CORE disables Manage Contract Distribution and displays a banner on the project's detail view. Existing phase and financial data is not changed automatically.
You can also set a default distribution method on a project template, so projects created from that template inherit the same settings.
How To
Distribute Contract Amounts in a Template
Field Descriptions
| Structure > More > Manage Contract Distribution > | |
| Auto - Distribution Method | Sets how contract amounts are calculated across the project hierarchy. Choose None to enter every amount yourself, Top-Down (by % of project) to split the main project's amount across its phases, or Bottom-Up (by sum of phases) to calculate the main project's amount from its phase amounts. |
| Split Amounts | Displays separate Service and Expenses columns so you can manage each amount on its own, instead of a single combined amount. |
| Contract Amount | The contract amount specified pertains to the particular project or phase you have selected. It is important to note that the fields you can edit within this section are determined by the distribution method you have chosen. Depending on this method, certain fields may be available for modification while others may be locked or fixed. This ensures that the contract details align appropriately with the distribution approach applied to the project or phase. |
| % of Parent | The percentage of the parent project's contract amount allocated to a phase. Available only with Top-Down (by % of project). |
| Undistributed | The portion of the contract amount not yet allocated to a phase. Available only with Top-Down (by % of project). |
Distribute Contract Amounts
Contract Distribution allows you to manage contract amounts across a project's hierarchy using a consistent distribution method. Depending on your project requirements, you can automatically distribute contract amounts between the Main project and its phases or manage them independently.
To distribute contract amounts, follow these steps:
- Open the Projects screen from the side menu > Projects.
- In the list view, select the project and click
to view its details.
- In the Project Center view, go to the Structure tab.
- Click More, then under Helpers & Tools, select Manage Contract Distribution.
- Select a Distribution Method:
- Top-Down (by % of project): Enter the main project's Contract Amount, then allocate a percentage to each phase. CORE calculates each phase's amount for you.
- Bottom-Up (by sum of phases): Enter the Contract Amount for each phase. CORE calculates the main project's total for you.
- None: Enter and maintain the contract amount for the main project and each phase independently.
- Optionally turn on Split Amounts to manage Service and Expenses amounts separately. Click Review & Apply.
- Review the changes. The Before and After columns show the previous and updated amounts; the Change column shows the difference for each project or phase.
- Click Apply Changes to save, or Back to adjust the distribution.
Note: With Top-Down (by % of project), your allocations can't add up to more than 100%. If they do, CORE highlights the affected values and the Undistributed field in red, and disables Review & Apply until you correct the allocation.
Distribute Contract Amounts in a Template
Project templates allow you to define a default contract distribution method for new projects. Setting the distribution method in a template helps maintain consistency across projects and reduces setup time when creating projects from the template.
To configure contract distribution in a project template, follow these steps:
- Open the Projects screen from the side menu > Projects.
- In the list view, click More > Project Templates. (Alternatively, you can access this screen directly from the Projects menu > Templates & Tools > Project Templates or Settings > Projects.)
- Select a project template and go to its Structure tab.
- Choose a Distribution Method: None, Top-Down (by % of project), or Bottom-Up (by sum of phases).
- Optionally, turn on Phase Dependencies toggle to configure phase date dependencies for this template.
- Click Save to save the changes to the template.
Every project you create from this template starts with the same distribution method already applied.
