BQE CORE-Office 365 Integration

Overview

BQE CORE allows you to integrate with Microsoft Office 365 and connect your Microsoft 365 Outlook/ Hotmail/Exchange account with CORE. After you have connected to your Office 365 account from the Integrations screen, you can view your Outlook/Hotmail/Exchange calendars in CORE. This integration also extends to the CORE CRM emails. You can sync email communications with your CRM contacts directly to CORE and also use your Office 365 account to send out emails from CORE. This integration supports any Microsoft Cloud account that connects with Office 365. It is a real-time connection wherein you can create emails and events in CORE and instantly send them to your Office 365 account. Note: This is an individual-level user integration and not a company-level integration. An Office 365 account can be connected with only one CORE user to avoid duplication of emails. In other words, multiple users cannot connect to the same Office 365 email account.

Integrations > Office 365 Settings >
Account Email address of your Office 365 account, say your Outlook email.
Nickname Display name of your Office 365 account, say Outlook Office.
Use Office 365 to send emails This option allows you to use your own email service, such as Office 365 Outlook, to send emails from CORE CRM instead of the default email system. This option can be set for all employees in the Settings screen and then you can choose to select it here for yourself for outgoing emails. This option is only available if you have a CORE CRM subscription.
Sync Settings: Email Here you can select the Office 365 services for synchronization with CORE. You can select the email folders to sync with CORE, say Inbox, Outbox, Archive, Drafts, etc. This option is only available if you have a CORE CRM subscription.
Sync From This is the period from which you want to sync your Office 365 account with CORE, say the Last 6 months or 1 month.
Privacy You can keep the synced emails visible to you only by marking them as Private or keep them visible to other CORE users by marking them as Public. By default, it is set to private.
Calendar You can select the Office 365 calendars to sync with CORE Calendar, say Work, Personal, Holidays, etc.
History

Displays a history of previous synchronizations taken place between CORE and Office 365, if any. This sync log shows you the date, time, description, and action taken along with any errors encountered during sync.

You can clear the sync log if you do not want to see the sync history between CORE and Office 365.

Export as CSV

You have an option to export the sync log as a comma-separated values (.csv) file that can be viewed in Microsoft Excel or any other spreadsheet program. This allows you to focus on the most recent sync history while maintaining a record of the previous history.

 

Connect to Office 365

To connect CORE to your Office 365 account, watch this video or follow these steps:

  1. Open the Integrations screen from the side menu > Settings.

  2. On the Applications panel, click Connect on Office 365. For details, check Integrations: Connect Your Office 365 Account or CORE-Office 365 Calendar Integration.

The accounts are connected and you can choose to view your Outlook/Hotmail/Exchange emails and calendars in CORE.

Note: Provided you have set up your Office 365 integration, as a regular CRM user, you can use the read-only feature to sync emails from your inbox into CORE CRM, even if the option in the Settings screen to allow employees to use Office 365 as outgoing email is turned off.

Specify Sync Settings

CORE provides you the ability to sync the CORE Calendar data with your Office 365 calendars. You can also choose to send your CORE CRM emails using this Office 365 email account. It applies to CRM leads, prospects and prospect contacts only. But before doing that, you must review the synchronization rules and settings for a smooth data integration.

To specify your sync settings for Office 365, watch this video or follow these steps:

  1. Open the Integrations screen from the side menu > Settings.

  2. On the Applications panel, click Office 365 on the grid (if you are already connected; else you have to connect and log in first).
  3. On the Office 365 Settings screen, select the default third-party connection settings, as needed. Check Field Descriptions above for details.

  4. Check Use Office 365 to send emails. Check Field Descriptions above for details.
  5. Next, select the services that you want to sync with CORE. Check Field Descriptions above for details
    • Email: This option is only available if you have a CRM subscription.
    • Sync From
    • Privacy
    • Calendar
  6. Click Save.

Your calendars and emails will start syncing.
