Manage Subscriptions

Overview

The Manage Subscriptions screen allows you to manage all the BQE CORE account subscriptions and billing information. This information is permission-driven and only available to CORE account owners and admin users. CORE sends the subscription notifications only to the owner account. All subscription payments are associated with a company and not the owner of a CORE account. Click to watch this video on managing your subscriptions in CORE.

CORE offers various subscription packages and each user is associated with a single package or multiple packages. These packages generally determine the features, navigation, screens, reports and dashboard widgets available to the users. You can click on 'View features included' in the application to see which features are included in each package.

Purchase Subscription Packages

The account owner can add new subscription packages to CORE. Right after you purchase the subscriptions, CORE checks if the logged account is missing any of the purchased subscriptions. If any of the packages are missing, CORE prompts you to assign subscriptions automatically to your account. If you prefer, you can do so manually from the Manage Users screen.

To add a subscription package, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. Click Add Packages on the top-right.
  3. On the Subscription Packages screen, choose the packages and number of subscriptions you want for each.
  4. Click Add to Cart.
  5. When you are ready, on the floating Shopping Cart dialog, click Proceed to Checkout.
  6. On the Checkout screen, review your cart and apply any promotional code.
  7. Click Continue.
  8. Enter the billing information:
    • Name

    • Card Number

    • Billing Address

  1. Click Continue

  2. Review your order, agree to the Terms and Conditions, and then click Complete Checkout.

Add Subscriptions

To add a subscription to your package, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. In the list view, select a package on the grid and click Add Subscriptions on that row.
  3. On the Checkout screen, select the quantity (number of subscriptions) and click Continue.
  4. Review your billing information and click Continue.
  5. Review your order and agree to the Terms and Conditions.
  6. Click Complete Checkout.

Cancel Subscriptions

You can cancel your CORE subscription anytime your package plan ends by not renewing it. However, you cannot cancel it before the plan expiration date. If you have opted for automatic renewal of subscription, you can disable that option anytime. After disabling automatic renewal, you can still use the subscription through the expiration date.

To disable auto renewal of your CORE subscription, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. Select a package on the grid that you want to cancel in future and click dropdown-caret.png to select Disable Auto Renew.
  3. To cancel many subscription packages, select those on the grid and click Actions > Disable Auto Renew.
  4. You are asked to confirm the cancellation. Click Yes, Disable.

Assign Subscriptions to Users

To assign a subscription to a user, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. In the list view, select a package on the grid and click dropdown-caret.png to select Assign.
  3. On the Assign dialog, check the number of available subscriptions at the top and then select the Assign box accordingly.
  4. If you have enough subscriptions, you can click Action > Assign All.
  5. Click Update.

Renew Subscriptions

While adding a new subscription plan to your CORE account, you can opt to renew your active subscription automatically at the end of the plan period. You can also renew your active subscription manually or on-demand. Subscriptions that are purchased together and set to auto-renew will renew at the same time and a single, consolidated renewal invoice is sent over in that case.

If you have not set the subscription packages for automatic renewal and you are the Owner or Admin user, you will receive in-app notifications about the subscription expiry date. Typically, CORE sends it a month before the expiration if you are on a plan that is longer than a quarter (3 months). If you are on a plan that is less than a quarter, you will receive notifications 7 days before expiration. If you click on the Remind me later button on the notification, CORE sends you a reminder notification within 48 hours. After the subscription expires, CORE gives you a grace period of 5 to 7 days during which you can continue to use CORE.

To renew your subscription to CORE, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. In the list view, select a package on the grid and click dropdown-caret.png to select Renew. Alternatively, you can click on the Renew button from the in-app notification, when your subscription has expired or is about to expire.
  3. On the Checkout screen, confirm your plan and click Continue.
  4. Review your billing information and click Continue.
  5. Review your order and agree to the Terms and Conditions.
  6. You can select the option 'Automatically renew...' if you want CORE to renew your subscription automatically.
  7. Click Complete Checkout.

If you do not want the automatic renewal option later, click Disable Auto Renew on the row action drop-down (or use Actions > Disable Auto Renew). After disabling automatic renewal, you can still use the subscription through the expiration date. However, you will lose access to your CORE database, unless you renew it automatically or manually.

Renew Expired Subscriptions

You can set your subscription plan for automatic renewal. However, if you have not done that and your subscription expires, you still have an option to renew the expired subscription manually. Expired subscriptions appear in the Inactive Subscriptions screen, which allows you to view all your expired subscriptions and renew them.

Note: You cannot renew inactive subscriptions.

To renew your expired subscription to CORE, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company. Alternatively, you can click on the Renew button from the in-app notification, when your subscription has expired or is about to expire.
  2. Click More > Inactive Subscriptions.

  3. On the Inactive Subscriptions screen, select the expired package on the grid and click Renew.
  4. On the Checkout screen, confirm your plan and click Continue.
  5. Review your billing information and click Continue.
  6. Review your order and agree to the Terms and Conditions.
  7. You can select the option 'Automatically renew...' if you want CORE to renew your subscription automatically.  
  8. Click Complete Checkout.

Upgrade Subscriptions

CORE provides the ability to upgrade your active subscription plans. You can change your subscriptions to a higher plan and pay the difference.

To upgrade your subscription plan:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. On the list view, select a package on the grid and click dropdown-caret.png to select Upgrade Plan.
  3. On the Upgrade screen, select the higher subscription plan and click Upgrade.
  4. On the Checkout screen, review your cart and apply any promotional code. Click Continue.
  5. Next, review your billing information and click Continue.
    Note:
    You can view the billing information of your subscriptions such as invoice number, amount, card information, etc. from the Billing History screen under Company > Subscriptions. You can also view the subscription history of the account on the Transaction History dialogue of the Billing History screen.
  6. Review your order and agree to the Terms and Conditions.
  7. Click Complete Checkout.

Purchase Storage

By default, CORE subscription comes with 5 GB free storage. For more document storage, you need to purchase it via the annual payment plan.

To purchase more storage for your CORE subscription, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. In the list view, click Add Packages on the top-right.
  3. On the Subscription Packages screen, scroll down and choose the storage package you want.
  4. Click Add to Cart.
  5. Review your Shopping Cart and then click Proceed to Checkout.
  6. On the Checkout screen, confirm your purchase and click Continue.
  7. Review your billing information and click Continue.
  8. Review your order and agree to the Terms and Conditions.
  9. Click Complete Checkout.

Export Subscriptions

In CORE, you can export user subscriptions to the Comma Separated Values file format. CORE exports data from all available columns and not just the columns visible in the grid.

To export subscription records to a .CSV file, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. In the list view, click More > Export as CSV.
  3. A .csv export file is created and saved on your system at the default download location, say your desktop. Click to open the spreadsheet.

Mark Screen as Favorite

You can mark or flag the most-often used and important screens in CORE as your favorites up to a maximum of ten. These favorite screens then display separately on the side menu under the Favorites list. You can manage all your favorite screens in CORE from User Settings.

To mark this screen as your favorite, watch this video or follow these steps:

  1. Open the Manage Subscriptions screen from the side menu > Settings > Company.

  2. Click favorites.png on the top-right.
  3. You can access this screen from the side menu under Favorites.
