Manage Subscriptions

Overview

The Manage Subscriptions screen allows you to manage your Core account subscriptions and billing information. This information is permission-driven and only available to Core account owners and admin users. Core sends the subscription notifications only to the owner account. All subscription payments are associated with a company and not the owner of a Core account. Click to watch this video on managing your subscriptions in Core.

Core offers various subscription packages and each user is associated with a package based on the role in the company. These packages generally determine the features, navigation and dashboard available to the users. Core supports the following pre-defined subscription packages with various plans (click here for pricing details). You can click on 'View modules included' in the application to see which features are included in each package.

  • Core Express
    This is a powerful, bundled package for small businesses. Each subscription includes full Time & Expense, Manager, and Billing modules at a reduced price. The price shown is per user, per month on the selected plan and is meant for users who need access to multiple functionality. Check out the features included in this package. 
  • Core Express Plus
    This is a powerful, bundled package for small businesses. Each subscription includes full Time & Expense, Manager, Billing, and Accounting modules at a reduced price. The price shown is per user, per month on the selected plan and is meant for users who need access to multiple functionality. Check out the features included in this package. 
  • Core Express CRM
    This is a powerful, bundled package for small businesses. Each subscription includes full CRM modules at a reduced price. The price shown is per user, per month on the selected plan.
  • Core Express HR
    This is a powerful, bundled package for small businesses. Each subscription includes full HR modules at a reduced price. The price shown is per user, per month on the selected plan.
  • Core Essentials
    This is an essential, bundled package that includes full capabilities of Time & Expense, Manager, and Billing modules at a reduced price. The price shown is per user, per month on the selected plan and is meant for power users who need access to multiple functionality. However, there are no monthly or quarterly plans for this package, only yearly plans. Check out the features included in this package.
  • Manager
    This subscription package includes features for managing your projects and is aimed at managers who need to create and maintain employees, consultants, clients and projects; allocate tasks, approve work flows, and get a bird's eye view of their projects' health. Check out the features included in this package.
  • Billing
    This subscription package includes features for managing your invoices and is aimed at billing managers or staff who handles invoicing, billing schedules, payments, and other aspects of your all-important cash flow and accounts receivables. Check out the features included in this package.
  • Accounting
    This subscription package includes features for managing your accounts payable and is aimed at those who need deep insights into the company’s overall finances, including company owners, principals, bookkeepers, CFO, controller and CPAs. Check out the features included in this package.
  • Time Expense
    This subscription package includes features for entering and managing your time and expenses, and is aimed at timekeepers. It is meant for all team members and general staff to record their time and expenses, make PTO requests, track reimbursable expenses and use timers to track their tasks accurately on their computer, laptop, tablet or smart phone. Check out the features included in this package.
  • HR Administrator
    This subscription package includes features for managing your human resources and is aimed at HR managers. It provides full administrative access to all HR screens, reports and widgets. Check out the features included in this package.
  • HR Standard
    This subscription package is suitable for regular employees who need to view their own HR information in Core (self access only). They get limited, read-only access to their own HR details. Check out the features included in this package.
  • CRM
    This package is meant for CRM users and administrators. Check out the features included in this package.
  • Payroll (Beta)
    This package is meant for Payroll users and administrators. The features included in this package are: Chart of Accounts, Contacts, Company Profile, Employees, Vendors, Checks, Agencies, Withholding Categories, Taxes, Pay Item Categories, Workers' Compensation, Global Settings, Process Payrolls, and Payroll Checks.
  • General
    This subscription package includes general features in Core that are included for free in all other packages. Check out the features included in this package.

Note: The first subscription must have the Manager package as a minimum.

Mark Screen as Favorite

Purchase Subscription Packages

The account owner can add new subscription packages to Core. Subscriptions that are purchased together and set to auto-renew will renew at the same time and a single, consolidated renewal invoice is sent over in that case. Right after you purchase the subscriptions, Core checks if the logged account is missing any of the purchased subscriptions. If any of the packages are missing, Core prompts you to assign subscriptions automatically to your account. If you prefer, you can do so manually from the Manage Users screen.

To add a subscription package, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. Click Add Packages on the top-right.

    2. On the Subscription Packages screen, choose the packages and number of subscriptions you want for each.

    3. Click Add to Cart.

    4. When you are ready, on the floating Shopping Cart dialog, click Proceed to Checkout.

    5. On the Checkout screen, review your cart and apply any promotional code.

    1. Click Continue.

    2. Enter the billing information:

      • Name

      • Card Number

      • Billing Address

    1. Click Continue

    2. Review your order, agree to the Terms and Conditions, and then click Complete Checkout.

Add Subscriptions

To add a subscription to your package, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, select a package on the grid and click Add Subscriptions on that row.

    2. On the Checkout screen, select the quantity (number of subscriptions) and click Continue.

    3. Review your billing information and click Continue.

    1. Review your order and agree to the Terms and Conditions.

    2. Click Complete Checkout.

Cancel Subscriptions

You can cancel your Core subscription anytime your package plan ends by not renewing it. However, you cannot cancel it before the plan period. If you have opted for automatic renewal of subscription, you can disable that option anytime. After disabling automatic renewal, you can still use the subscription through the expiration date.

To disable auto renewal of your Core subscription:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. Select a package on the grid that you want to cancel in future and click  to select Disable Auto Renew.

    2. To cancel many subscription packages, select those on the grid and click Actions > Disable Auto Renew.

    3. You are asked to confirm the cancellation. Click Yes, Disable.

Assign Subscriptions to Users

To assign a subscription to a user:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, select a package on the grid and click  to select Assign.

    2. On the Assign dialog, check the number of available subscription at the top and then select the Assign box accordingly.

    3. If you have enough subscription, you can click Action > Assign All.

    4. Click Update.

Renew Subscriptions

While adding a new subscription plan to your Core account, you can opt to renew your active subscription automatically at the end of the plan period. You can also renew your active subscription manually or on-demand. The automatic renewal option is turned off for 5-year plans. Subscriptions that are purchased together and set to auto-renew will renew at the same time and a single, consolidated renewal invoice is sent over in that case.

To renew your subscription to Core, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, select a package on the grid and click  to select Renew.

    2. On the Checkout screen, confirm your plan and click Continue.

    3. Review your billing information and click Continue.

    1. Review your order and agree to the Terms and Conditions.

    2. You can select the option 'Automatically renew...' if you want Core to renew your subscription automatically.

    3. Click Complete Checkout.

If you do not want the automatic renewal option later, click Disable Auto Renew on the row action drop-down (or use Actions > Disable Auto Renew). After disabling automatic renewal, you can still use the subscription through the expiration date. However, you will lose access to your Core database, unless you renew it automatically or manually.

Renew Expired Subscriptions

You can set your subscription plan for automatic renewal. However, if you have not done that and your subscription expires, you still have an option to renew the expired subscription manually. Expired subscriptions appear in the Inactive Subscriptions screen, which allows you to view all your expired subscriptions and renew them.

Note: You cannot renew inactive subscriptions.

To renew your expired subscription to Core:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    2. Click More > Inactive Subscriptions.

    1. On the Inactive Subscriptions screen, select the expired package on the grid and click Renew.

    2. On the Checkout screen, confirm your plan and click Continue.

    3. Review your billing information and click Continue.

    1. Review your order and agree to the Terms and Conditions.

    2. You can select the option 'Automatically renew...' if you want Core to renew your subscription automatically.

    3. Click Complete Checkout.

Upgrade Subscriptions

Core provides the ability to upgrade your active subscription plans. You can change your subscriptions to a higher plan and pay the difference.

To upgrade your subscription plan:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, select a package on the grid and click  to select Upgrade Plan.

    2. On the Upgrade screen, select the higher subscription plan and click Upgrade.

    3. On the Checkout screen, review your cart and apply any promotional code. Click Continue.

    1. Next, review your billing information and click Continue.

    2. Review your order and agree to the Terms and Conditions.

    3. Click Complete Checkout.

Purchase Storage

By default, Core subscription comes with 2 GB free storage. For more document storage, you need to purchase it via the annual payment plan.

To purchase more storage for your Core subscription, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, click Add Packages on the top-right.

    2. On the Subscription Packages screen, scroll down and choose the storage package you want.

    3. Click Add to Cart.

    4. Review your Shopping Cart and then click Proceed to Checkout.

    5. On the Checkout screen, confirm your purchase and click Continue.

    6. Review your billing information and click Continue.

    1. Review your order and agree to the Terms and Conditions.

    2. Click Complete Checkout.

Export Subscriptions

In Core, you can export user subscriptions to the Comma Separated Values file format. Core exports data from all available columns and not just the columns visible in the grid.

To export subscription records to a .CSV file, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, click More > Export as CSV.

    2. A .csv export file is created and saved on your system at the default download location, say your desktop. Click to open the spreadsheet.

View Billing History

To view the billing history of your Core account:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. Click Billing History on the top-right.

    2. On the Billing History screen, you can view all your billing information.

    1. Click  on a row and select Transaction History or Preview.

    2. On the Transaction History dialog, you can view the subscription history of this account.

    3. Click Close.

    4. In case of Preview, you can view the Core invoice for your purchased subscription.

Mark Screen as Favorite

You can mark or flag the most-often used and important screens in Core as your favorites up to a maximum of ten. These favorite screens then display separately on the side menu under the Favorites list. You can manage all your favorite screens in Core from User Preferences.

To mark this screen as your favorite, watch this video or follow these steps:

    1. Open the Manage Subscriptions screen from your company menu > Account > Manage Subscriptions.

    1. In the list view, click  on the top-right.

    2. You can access this screen from the side menu under Favorites.
