Payroll Frequencies

Overview

Core Payroll allows you to set up various frequencies by which employees are paid. Core offers a list of commonly used system frequencies with default values, but allows you to create your own. The Payroll Admin user can change their active status, but cannot delete them. You can use multiple payroll frequencies in calculating the payroll, such as Every Friday (weekly), Every Other Friday (biweekly), Every Month (monthly), etc. One of the frequencies has to be tagged as the default frequency. When a payroll frequency is marked as default, all new employees automatically fall into this payroll frequency group.

Field Description

Field Name Field Description
Payroll Frequencies > Add New Payroll Frequency >
Name Name of the payroll frequency, say Every Other Friday.
Description Detailed description of the payroll frequency, say once every other week.
Default This tags the payroll frequency as a frequently used or default frequency, and pre-fills the frequency field in other payroll screens. 
Pay Period: Frequency Frequency of the payroll cycle, say biweekly or monthly.

Last Day of Pay Period

Date on which the last payroll was created for the selected payroll frequency. This is a reference point for when the last pay period occurred. For example, it can be a Saturday of a bi-weekly period. 

Pay Day

The pay day of the employees is the day when they get paid. The pay day is determined by the number of days after the pay period. So if a bi-weekly pay period ends on a Saturday and you get paid for it the next Friday, it will be 6 days here.


Create Payroll Frequencies

Core allows you to create multiple payroll frequencies that define the pay periods for your employees.

To create a payroll frequency:

    1. Open the Payroll Frequencies screen from the side menu > Lists > Payroll.

    2. Click Add on the right panel

    3. On the Add New Payroll Frequency screen, enter the required information:

      • Name: Name of the payroll frequency, say Every Other Friday.

      • Frequency: Frequency of the payroll cycle, say biweekly or monthly.

      • Last Day of Pay Period: Date on which the last payroll was created for the selected payroll frequency. This is a reference point for when the last pay period occurred. For example, it can be a Saturday of a bi-weekly period.

    4. Enter other details for the group, as needed.

      • Description: Detailed description of the payroll frequency, say once every other week.

      • Pay Day: The pay day of the employees is the day when they get paid. The pay day is determined by the number of days after the pay period. So if a bi-weekly pay period ends on a Saturday and you get paid for it the next Friday, it will be 6 days here.

    5. Click Save & Done.

View Reports

To view a report:

  1. Open the Payroll Frequencies screen from the side menu > Lists > Payroll.
  2. In the list view, click More > View Reports.
  3. Select a report from the Report List dialog. It opens in the viewer.
  4. Preview the report and then choose to export or print it.

Show/Hide Columns in Grid

You can configure the fields or columns that appear on the grid in the list view. You can hide or show columns, and sort the order of columns according to your requirements.

To do so, watch this video or follow these steps:

      1. Open the Payroll Frequencies screen from the side menu > Lists > Payroll.
      2. In the list view, click More > Show/Hide Columns on the action bar.
      3. Select or un-select the column names in the drop-down list, say Default.
      4. Next, click the column you want to sort, say Frequency.
      5. Click once for ascending order (A-Z) and twice for descending order (Z-A).

Note: You can resize the column widths on the grid and then reset them, if needed (More > Reset Column Widths).

Export Payroll Frequencies

In Core, you can export the payroll groups to the Comma Separated Values file format. Core exports data from all available columns and not just the columns visible in the grid.

To export payroll frequency records to a .CSV file, watch this video or follow these steps:

    1. Open the Payroll Frequencies screen from the side menu > Lists > Payroll.

    2. In the list view, click More > Export as CSV.

    3. A .csv export file is created and saved on your system at the default download location, say your desktop. Click to open the spreadsheet.
