Integrating QuickBooks desktop data with Core

Print Friendly and PDF

Although Core is a full accounting software, some QuickBooks users might want to continue using QuickBooks for their accounting and financial needs, while some might want to switch completely to Core. In both cases, Core allows data integration with QuickBooks Online, not the desktop version. However, you can switch from QuickBooks desktop to QuickBooks Online, and then integrate your data with Core.

Note: If you prefer not to perform the first-time integration yourself or want to transfer all the accounting data and detailed transactions to Core, please contact your BQE Account Manager for our Custom Conversion Services

Here are the steps outlining how to integrate your QuickBooks desktop data with Core:

1. Switch from QuickBooks desktop to QuickBooks Online and migrate your data into it.

Sign up for a QuickBooks Online account (you can integrate Core with QuickBooks Online even with a trial account). After creating your QuickBooks Online account, follow the instructions provided by IntuitTM to migrate your desktop data to the online database.

2. Connect QuickBooks Online to Core.

Connect your Core account to QuickBooks Online by adding it as an integrated software. You can then connect to your QuickBooks Online database by signing in. Intuit handles the authentication and company selection process, but Core provides the integration feature to initiate the data transfer. Check out Connect with QuickBooks Online for detailed steps.

3. Specify sync settings.

Before syncing your QuickBooks Online data with Core, you must review and set the sync rules for a smooth and accurate data transfer. As you are getting your QuickBooks data into Core, you must especially review the Get settings and decide whether to get all data or selected data. Check out Specify Sync Settings for detailed steps.

4. Sync data between Core and QuickBooks Online.

After specifying the settings, you can start the sync process by getting the data from QuickBooks Online into Core using the Get menu. It is best to follow the order of the menu when syncing data or click All Items to sync all the data. Check out Get Data from QuickBooks Online for detailed steps.

5. Map or un-map data between the two databases.

During data sync, Core either overwrites the duplicate data, if any, or leaves it as is, depending on the overwrite rules specified in Sync Settings. You can manually check and merge the duplicate data or else, use the smart match Record Mappings option to match or un-match data between the two databases. Check out Map Records or Unmap Records for detailed steps.

After you have finished the above process, we recommend verifying your data in Core by checking the screens and running some reports. If you have any questions, please contact BQE Support at (310) 602-4030 or Support@bqe.com.
